Job Description

This is a part time position.

The project assistant works closely with the operations management team (operations, communications, and publications) to assist in the technical preparation of publications and to provide editorial and administrative support to the operations team.

Essential Duties/Responsibilities:

  • Processes electronic documents, including editing, proofreading, and formatting
  • Assists in the technical preparation and formatting of miscellaneous publications, including books, reports, electronic newsletters, online magazines, meeting-specific publications and communication, etc.
  • Enters and/or proofs data using specific software programs to support publications, communications, and meetings
  • Works with the scientific community regarding publication and communication content and editorial tasks
  • Performs other tasks as needed or required, including but not limited to assisting with correspondence, assembling meeting-related products, assisting with meetings, etc.


Other job-related duties, as assigned

Required Qualifications:


Associate’s degree, specialized in editorial and administrative tasks



Two years of related experience successfully working in a deadline-driven, multi-project team environment


Knowledge, Skills and Abilities:  

  • Experience using electronic tools, databases, and software related to communications and publications tasks
  • Ability to swiftly learn new software and applications with a goal of independent use
  • Adept at editing and proofreading with the ability identify and correct errors
  • Excellent knowledge of English grammar, composition, usage, and spelling



  • Positive, supportive, and resourceful attitude
  • Detail-oriented, with the ability to follow established procedures or suggest new procedures to improve processes
  • Excellent organizational, priority-setting, creative problem-solving, and people skills
  • Excellent customer service skills
  • Ability to collaborate with ad hoc project teams as well as team members to enhance and sustain cooperative efforts while appropriately applying judgment and discretion
  • Ability to work independently, with excellent time management skills, a strong sense of self-reliance, and a strong work ethic
  • Ability to work extended hours and/or weekends, as necessary
  • Must be a U.S. citizen and able to pass a government security background investigation to secure approval for appropriate access to government facilities



  • Proficient in Microsoft Office and its applications
  • Proficient in office computer and peripherals
  • Ability to quickly learn and independently use specialized software

Working Conditions:

  • Time constraints may necessitate extended hours to the standard work day.
  • Vacation periods may be restricted due to inflexible schedules and deadlines.
  • Occasional use of personal vehicle may be required.
