Job Description

Located in Columbia, MD, USRA is seeking a full-time STEM Special Events Project Specialist for our STEMaction Center who will plan and execute meaningful and effective events and programs. Signature events include FIRST (For Inspiration and Recognition of Science and Technology) programs -- FIRST LEGO League Junior (FLL Jr.) and FIRST Tech Challenge (FTC) -- as well as other STEM programs.

Special Events Project Specialist serves as the primary liaison between STEM program partners, sponsors, schools, and volunteers. Supports STEMaction events and competitions while collaborating with the team in the development, operation and delivery of programs. Assists in all phase(s) of event planning and is responsible for the following specific areas of but not limited to:

Essential Duties/Responsibilities:

  • Plan, schedule and manage tournament events of K-12 STEM programs
  • Manage registration process of competitions, workshops, camps, and other program events
  • Provide training to tournament staff members performing scheduled events
  • Proactively handles any issues and troubleshoots any emerging problems on the event day
  • Conducts pre-and post-event evaluations and report on outcomes
  • Develops system to track attendees for each event.
  • Problem solve systematic issues of partnered K-12 institutions
  • Assist with community outreach to educational institutions
  • Assist program manager in all aspects of project management including project planning, data gathering, analysis, development, communication, status tracking, implementation, monitoring, and follow-up
  • Follow-up on project issues with project manager to assist in the development of solutions
  • Participating in required meetings, activities, and related projects and relevant interdepartmental activities
  • Performing special projects as requested by supervisor

Required Qualifications:

Education:

  • Bachelor's degree in physical science, engineering, technology, math, marketing or other related fields

Knowledge, Skills & Abilities:

  • Two (2) to three (3) years relevant experience in special event management and planning.
  • Ability to work extended hours and weekend as necessary
  • Must possess a collaborative, team-focused attitude; be innovative, creative, and attentive to detail; and be able to multitask in a fast-paced, deadline-dependent environment. Strong written and verbal communicator.
  • Understanding of and experience working within diverse communities;
  • Strong communication skills, both oral and written;
  • Demonstrated expertise in the use of business software, including Microsoft Office, Excel and Google Suite, including shared document files;
  • Exceptional skills in organizing and carrying out multiple tasks and responsibilities;
  • Approachable personality; high energy, diplomacy skills.

Preferred Qualifications:

  • Knowledge of FIRST programs, STEM education, robotics, youth development
  • Experience in administering STEM activities for K-12 population
  • Experience in preparation of grant proposals 
  • Understanding of relational database management/volunteer management databases

Technology:

  • Proficiency in Microsoft Office and its applications.

Working Conditions:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, etc. Extensive online usage. At times, this is a largely a sedentary role. This position is based in Columbia, Maryland but will include travel regional. Requires reliable personal vehicle and a valid driver’s license; all travel expenses are reimbursed upon approval. There will be meetings or events on weekends and evenings, especially from October - June. Events have high noise levels and large crowds, and considerable walking. Requires ability to sit or stand as needed to perform office tasks and lift or carry 25 lbs.

Travel: 

Up to 30% local and regional travel.
